Export Business Records for Data Licensing Safely
Export business records for data licensing with a defined scope, verified vendor options, attachment checks, privacy review, and a documented delivery package.
To export business records for data licensing, first agree which records and uses are approved, then choose an extraction method your administrator can verify. Preserve the scope through filtering, attachment checks, privacy preparation, and delivery. An organisation-wide backup is a technical artifact; it is not automatically the package your company has agreed to license.
Start with an approved scope, not a download button
Recommend preparing a short export specification from the final data schedule. It should identify the systems, record classes, historical boundary, exclusions, required relationships, and delivery format.
If a buyer asks for “everything,” request a more precise description before extraction. A whole-system archive may contain material unrelated to the buyer's task and outside your company's proposed grant.
Use our business data inventory guide to identify the sources. Check rights to license records and privacy before selling business data before anyone prepares a sample for external review.
Technical feasibility can be checked without initiating a commercial transfer. Have the administrator read current documentation, inspect permitted scope options, and report constraints. Keep that assessment separate from authorization to disclose the records.
Assign the preparation responsibilities
Recommend naming the operations reviewer, technical administrator, privacy reviewer, contract approver, and delivery contact. Several roles may sit with the same person in a smaller company, but the decisions still differ.
The administrator can confirm how a tool exports records. The operations reviewer can assess whether the package preserves meaningful work. The appropriate legal adviser can assess permission. Do not ask one role to certify a question outside its competence.
Agree who handles filtering, attachment retrieval, transformations, correction requests, and secure transfer. Ask the buyer whether it requires a specialist preparation service and how that service receives access.
Polyshares describes using a specialist anonymization partner. That is its stated process, not a rule for every purchaser. Your own transaction needs clear responsibilities and approved arrangements for anyone receiving material.
Slack: distinguish messages, file links, and access rights
Slack's current export documentation describes options that depend on plan, role, and approval. It documents messages and file links, with broader export types available under specified conditions.
Ask your administrator which option applies to the workspace. Record the source channels, the historical scope, the permissions needed, and whether private conversations are excluded from the approved package.
Recommend checking file availability separately. A link in exported message data should not be treated as proof that the file itself is present, accessible, or cleared for licensing. Follow the actual relationship through an internal preparation check.
Do not broaden an export merely because a plan enables broader access. If the approved scope excludes private conversations or particular channels, the preparation process must respect that boundary.
Slack's documentation supports the technical investigation. It does not decide whether your employee or customer information can be licensed.
Google Workspace: review the organisation export route
Google Workspace documents a Data Export tool that creates an archive in Cloud Storage and has administrative and account requirements. Its guide lists included and excluded data and explains how export status identifies failures or errors.
Ask the administrator whether that route is suitable for the agreed package. An organisation export can be broader than a bounded commercial scope. Determine what extraction or approved filtering method can produce the intended records.
Recommend checking shared material separately from individual user folders. Also identify which accounts, services, and retained material are involved. Use the vendor's current documentation for availability and behavior rather than assuming the archive matches the application view.
Record storage location and access arrangements. Do not start a broad export without understanding where it will land, who can see it, and how your company will preserve control during preparation.
Avoid promising immediate delivery before the administrator has checked the method and dependencies.
Other business tools: require the same evidence
For a CRM, help desk, project tracker, document platform, or accounting tool, ask the administrator to identify the current vendor-supported route. This guide does not claim that every product provides equivalent export options.
Recommend recording the applicable documentation, account or plan conditions, fields included, attachment handling, and known omissions. If the route has not been checked, mark it unverified.
A CSV download may answer a reporting question while omitting comments, revision history, or files required for the buyer's task. A document archive may preserve text while losing useful links. Test the actual proposed package rather than calling it complete based on its file extension.
Do not add a third-party connector or use an improvised scraping method to overcome an uncertainty without the appropriate review. A new extraction service creates its own access, retention, and contractual questions.
Preserve task relationships during preparation
Recommend checking that related records still connect after extraction and privacy transformations. The buyer should be able to understand the approved task without requiring your live production system.
For a hypothetical repair archive, a ticket identifier might link the request, the work notes, and the outcome. If it is removed independently from each source, the package may lose the relationship that made the task useful.
Ask the preparation team whether a consistent replacement can preserve that relationship. The ICO's pseudonymisation guidance makes clear that such techniques do not automatically make personal information anonymous. Review both utility and privacy before selecting the transformation.
Record source relationships, transformation rules, and known failures. Do not silently repair a broken task by inventing missing evidence.
Check the prepared package against the agreement
Recommend reviewing the output rather than trusting only the export configuration. A filter can be set correctly while unexpected attachments or embedded material remain in the package.
Compare source coverage with the approved specification. Check whether exclusions actually held, whether required files open, and whether fields and timestamps retain their intended meaning. Have an operations reviewer inspect whether a task remains understandable.
Keep a discrepancies log. Explain missing periods, absent attachments, repeated records, unavailable sources, or transformations that changed usable context. Decide with the buyer whether those limitations are acceptable under the proposed acceptance rules.
Preserve a working copy for checks and a final delivery version. Avoid editing the final version casually once acceptance review has started. If a correction is needed, label the replacement and update the manifest.
Create a useful delivery manifest
Recommend including a plain-language cover note and a manifest listing the files, source categories, preparation version, scope, exclusions, and checks performed. Explain the package without adding confidential background outside the approved grant.
If your technical team uses checksums to track file integrity, record them alongside the relevant version. They can help verify that the same files arrived; they do not prove authority, privacy compliance, or dataset quality.
Keep the prepared material in an approved location with access limited to the required people. Use the transfer method agreed with the buyer. Do not send administrator credentials as a substitute for delivering a bounded package.
Ask for acknowledgment of receipt, then track acceptance separately under the contract. Delivery alone may not trigger payment if the agreed terms require another milestone.
Plan for rejected material and later requests
Before transfer, ask what happens if the package is rejected, partly accepted, or found to contain excluded information. Counsel should review the correction process, return or deletion arrangements, and responsibilities.
Treat a request for more recent records or a new source as a scope question. The administrator should not comply automatically because the buyer already has a transfer channel.
Keep the approved manifest and relevant acknowledgments under your company's recordkeeping process. An archive license does not require continuous live access unless your company expressly agrees to such an arrangement after review.
Our licensing process guide explains why signature, delivery, acceptance, and payment should be tracked as distinct events.
Qualify the opportunity before extraction
Recommend avoiding costly preparation based only on interest. Describe the work, resolve authority, and establish buyer requirements before assembling a commercial package. Keep extraction within the approved scope and confirm the delivery arrangements before sending records.
Garrow is an independent referrer and does not take possession of your archive. Your company and the buyer manage preparation and delivery under their approved arrangements.

Frequently asked questions
Should I export records before speaking to a buyer?
Start with descriptions. Check technical feasibility internally, then prepare an export only after the relevant scope, permissions, and review arrangements are approved.
Does a Slack export include every attachment?
Slack documents exports of messages and file links. Check the applicable plan, permissions, file availability, and approved scope rather than assuming every attachment is included.
Can I give the buyer my administrator login?
Recommend using an approved delivery package rather than sharing login credentials. Any access arrangement needs its own technical, legal, and security review.
